Voter notifications in ElectoSense
Voter invitations and reminders are sent from the Voters tab of an election when the access mode is Only invited voters (Invite-only). You can target specific audiences without editing individual voter records.
Where to send invitations
Open an election from Elections, go to the Voters tab, and click Send Invites. The invite drawer lets you choose a recipient segment:
- All eligible voters — every voter on the election list
- Not yet invited — voters who have been added but never emailed
- Not voted (reminder) — voters who were invited but haven't submitted a ballot
Segmenting by Not voted is the cleanest way to nudge non-responders without re-emailing people who already voted.
Invite-only vs. public links
If the election is set to Anyone with the link (Public) on the Voters tab, the system does not send per-voter invitations. In that case, distribute the Public Voting Link from the Settings tab — copy the URL, generate a QR code, or share it through your own email, newsletter, or signage.
What you can customize today
- The election title, description, and Welcome Message all surface in the voter experience — these are your primary content surfaces
- The public voting URL can be personalized via Edit Code on the Settings tab
- Voter segments (who gets invited vs. who gets reminded)
Fully templated invite subjects and HTML bodies are not configurable from the admin UI today. If you need custom copy, send the voting URL via your own email tool alongside the standard invitation.
Recommended communication structure
Whether you're using built-in invites or your own email, aim for five short lines:
- What the election is
- Why the voter is receiving the message
- The action (vote / review the ballot)
- The deadline (exact date and time)
- Who to contact for help
Best practices
- Use a recognizable organization name in any supporting emails you send
- Include the exact deadline, not phrases like “soon”
- Send a test invitation to yourself first and click through end-to-end
- Follow up with a Not voted reminder a day or two before closing
Common mistakes
- Targeting All eligible voters for reminders and re-emailing people who already voted
- Forgetting to set the election status to Active before sending invitations
- Shipping a public link when the access mode is actually invite-only (voters will be blocked)
