Ontario Condo Electronic Voting Software
Meet Ontario Condominium Act requirements with built-in consent tracking, voter authentication, and record retention.
Condo Act Overview
The Ontario Condominium Act, 1998 (as amended) permits condominium corporations to conduct certain votes electronically, subject to specific requirements. The Act and its regulations establish conditions for electronic communication and voting that corporations must follow.
Electronic voting is increasingly adopted by Ontario condos to improve participation and reduce the administrative burden of in-person meetings.
Electronic Voting Requirements
Owner Consent
Owners must consent to receiving notices and voting electronically. The corporation must provide a mechanism for owners to opt in or out.
Secure Authentication
The voting system must ensure that each ballot is cast by an eligible unit owner or their authorized proxy.
Record Keeping
Complete records of the vote, including participation and results, must be maintained as required by the Act.
How ElectoSense Supports Compliance
Electronic Consent Collection
Built-in consent workflows allow owners to opt in to electronic voting. Consent status is tracked and logged with timestamps.
Authenticated Voting Links
Each unit owner receives a unique, single-use voting link verified through email. Proxy authorization can be tracked within the system.
Complete Record Retention
All election data — participation records, vote totals, timestamps, and audit logs — is retained and exportable for your corporation's records.
Audit & Record Retention
Ontario condo corporations are required to maintain election records as part of their corporate records. ElectoSense automatically generates and retains complete audit trails for every election, including voter participation timestamps, aggregate results, and ballot access logs.
All records can be exported at any time as CSV files for board review, legal counsel, or owner inspection requests.
